Event sales for hotels and venues

Answer every event RFP in minutes, not days.

Airplate turns each event enquiry your venue receives into a priced proposal, a contract signed by both parties and a deposit request.

  • EU-hosted (Frankfurt)
  • Deposits on your own Stripe account — Coming soon
  • Apaleo integration (certification in progress)
  • French & English

Every RFP costs you twice

Once in your team's time, and again on the planner's clock. When the clock runs out, the deal goes with it.

01 · Team time

Hours your team spends on every request

Reading the request, checking spaces and bedrooms, pricing it, writing the proposal, then the contract. Put in your own numbers.

Typical: 20–30 min, adjust to yours. This range is our own estimate, not a measurement.

Your team spends about 18 hours a month answering RFPs.

RFPs per week × minutes per RFP × 52 ÷ 12 ÷ 60

02 · The planner's clock

80% of planners say the ideal response time is 4 days or less.

03 · The lost deal

A late answer doesn't get a no. It gets silence.

A planner comparing venues moves on with the ones that have already replied. By the time your proposal arrives, the shortlist is made, and the enquiry simply goes quiet.

How it works

From enquiry to confirmed booking, in five steps

  1. 01

The enquiry, in your client's language

Your client sends the request through your RFP form, in French or English, and the replies follow in that language.

  2. 02

    A priced proposal

Event spaces and bedrooms, priced from your own packages and rules, with VAT calculated.

  3. 03

A contract signed by both parties

Your client and your venue sign online, and everyone receives the signed PDF.

  4. 04

The deposit, on your own Stripe account

Your client pays the deposit to your own Stripe account. Airplate never holds the funds.

    — Coming soon

  5. 05

The Apaleo hold, Tentative to Definite

The event-space hold in Apaleo is created as Tentative and moves to Definite as the booking is confirmed.

    — Apaleo certification in progress

You stay in control. When one of your rules calls for a review, nothing goes to the client until your team has checked it.

Before and after

E-mail threads and a spreadsheet, or one timeline

The same enquiry, handled by hand on the left and in Airplate on the right. Drag the divider, or focus it and use the arrow keys, to compare.

By hand

  • E-mail threads that fork, get forwarded and lose the latest price
  • A spreadsheet of rates and availability to check by hand
  • Reminders to chase the client for a signature

With Airplate

  • One record per enquiry, from the request to the PMS hold
  • The proposal priced from your own packages and rules
  • Each status on one timeline your whole team can see
