Contracts and e-signature
Contracts your client and your venue sign online
Each contract is generated from the offer, your terms and your cancellation policy, and signed through Documenso by your client and your venue, with an audit trail of each signature.
How it works
From the offer to a signed contract
01
Generated from the offer
The contract is built from the offer, your venue's terms and your cancellation policy. No contract is sent without your terms and cancellation policy.
02
Sent by you, or by your rules
Send it from the booking, or choose automatic sending in Settings → Contract, for the event types you tick or for every feasible request. Manual is the default.
03
Your client signs
The client receives the contract by e-mail and signs online through Documenso. The booking moves to Deal To Sign.
04
You countersign
Your countersignature moves the booking to New Event, and both parties get the signed PDF. With auto-sign on, your signature is added for you.

Good to know
What you control
Manual by default
You send each contract yourself until you choose automatic sending. A request in Review & Send is never sent automatically, in any mode.
A checklist before automatic sending
It can be switched on only when your account is activated, your terms, cancellation policy and deposit rule are set, e-signature is ready, a package or option has a price and you have contract credits left.
A check before you send
Before a contract goes out, sent by you or automatically, the consistency check lists anything in the booking that does not match. It never stops the send.
From Telegram, with your PIN
Send the contract or get your countersigning link from the Telegram assistant: sending or signing a contract needs your Telegram PIN.
Questions
Questions and answers
Which e-signature service is used?
Documenso. From activation your contracts go out from AirPlate AI's Documenso account, so e-signature works from day one. On request, your venue's own Documenso account can be connected and is then used instead. Documenso records an audit trail of each signature.
Can contracts be sent automatically?
Yes, if you choose it in Settings → Contract; Manual is the default. “Automatic when the request passes your rules” sends the contract for the event types you tick, and “Automatic on every feasible request” does it for every event type. Only a request where a room is free and nothing clashes is sent automatically; a request in Review & Send never is.
Can I approve each contract before it goes out?
Yes: keep contract sending on Manual and send each contract yourself from the booking. Automatic sending has no separate approval step and no delay; your control there is the countersignature, unless you switch on auto-sign.
What is auto-sign?
An option in Settings → Contract that adds your signature for you, so the booking is confirmed (New Event) as soon as the client signs. It needs your signature image, uploaded in Business Details.
