Proposals and offers
Offers priced from your own catalogue
Each event request is priced from your packages, add-ons and pricing rules. A request that meets your rules gets its priced offer by e-mail, and the contract is generated from that offer.
How it works
From a request to an offer
01
Priced from your catalogue
Your packages, add-ons and pricing rules price each request: a percentage up or down for the dates and event types you choose.
02
E-mailed to the planner
A request that meets your rules gets a priced recap by e-mail, with the VAT itemised, the deposit and your policies. One that needs your review waits in Review & Send.
03
A preview link
Each proposal has a read-only preview link: your branding, the event summary, the line items and the full pricing breakdown, with no login for the planner.
04
Accepted or countered
With planner actions switched on, the client accepts the offer online or sends a counter-offer, and you accept, reject or counter back.

Good to know
What you control
An optional deadline
Give an offer a “valid until” date and its preview link stops accepting actions after that date.
A new version, not an overwrite
Create New Offer makes a new version of the booking and keeps the old one as history.
Subtotal, VAT and total
Offers show the subtotal, the VAT and the total, in the proposal's currency.
Every step recorded
Counter-offers, deadline changes and status changes are recorded on the booking's timeline.
Questions
Questions and answers
What does the client see?
A read-only preview of exactly the offer you are sending: your venue branding, the event summary, the line items (packages, options and extras) and the full pricing breakdown (subtotal, VAT, total and any deposit) in the proposal's currency. No account or login is needed, and it never shows your internal notes or costs.
Can a client negotiate the offer?
Yes, when you switch on planner actions for the preview link: the client accepts the offer online or sends a counter-offer, a message with an optional requested total. You accept, reject or counter back from the booking's menu, and each step is recorded on its timeline. A counter-offer does not change the price by itself: you apply the agreed price, and the contract is still signed online.
Can an offer expire?
Yes, if you give it a “valid until” date; it is optional and off by default. After that date the preview link stops accepting actions, and a booking still in Review & Send or Contract Sent moves to Lost with the reason “Proposal expired”.
How do I change an offer after sending it?
Use Create New Offer: it makes a new version of the booking, which starts in Review & Send, and keeps the old version as history (Superseded). Unsigned contracts of the old version are withdrawn. It is refused once a deposit has been paid.
Is VAT shown on the offer?
Yes. Offers show the subtotal, the VAT and the total, and you can download the proposal and the contract as PDFs.
