Telegram assistant

Your bookings on Telegram, by text or voice

On Telegram, /today counts today's confirmed events, new requests and requests awaiting your answer, and you can change a booking by text or by voice note. Each change waits for your Confirm, and sending or signing a contract needs your PIN.

How it works

From a message to a changed booking

  1. 01

    Connect your chat

Each person connects their own Telegram chat in Settings → Integrations → Telegram: the link opens the bot, then press Start.

  2. 02

    Ask

/today, /rfps, /kpi, or /booking with a booking reference. A question in plain words is answered read-only by the assistant.

  3. 03

    Say what changes

Send the change as text or as a voice note of up to 60 seconds. For a voice note, the bot first replies with what it heard.

  4. 04

    Confirm

The bot shows what will change, read from the booking, with the new total. Nothing changes until you press Confirm.

Good to know

Good to know

  • Your venue's own words

With each voice note, AirPlate AI sends a list of your venue's own words: the venue name, room names, package and add-on names, the bot's commands and the first names of the account holder and team members.

  • A PIN for contracts

Sending or signing a contract needs your Telegram PIN, four to six digits. After five wrong PINs, changes from Telegram are locked for 15 minutes; Unlock on the Telegram card lifts the lock.

  • Alerts for new requests

A new request sends a short alert with its reference, event type, date and number of guests, and buttons that open the booking.

  • Who can change a booking

The venue owner and the team members who may edit. Questions never need the PIN.

Questions

Questions and answers

What can I change from Telegram?

The number of guests, the date and the start time, catalogue items and their quantities, the deposit percentage, a new task and the status, only to the statuses the booking can move to. You can also send the contract and get your countersigning link. Once the contract is with the client, a change to the booking is refused: create a new offer in the app.

Does the bot change a booking on its own?

No. It shows what will change and waits for you to press Confirm, Change or Cancel, and a proposed change expires after five minutes.

What happens to my voice notes?

They are transcribed by Mistral AI through its EU endpoint, and AirPlate AI does not store the audio. With each one, AirPlate AI also sends your venue's own words (the venue name, room, package and add-on names, the bot's commands and the first names of the account holder and team members) so that names are spelled correctly. A round video message works the same way: only its sound is transcribed.

What is sent to Telegram?

The booking summaries the bot sends to your chat, and the messages and voice notes you send to the bot. AirPlate AI sends no client e-mail address, phone number or postal address to Telegram, and Telegram processes the messages on its own servers.

How do I disconnect the bot?

Use Unlink on the Telegram card in Settings → Integrations, or send /stop in the chat.
