Receiving RFPs

Clients submit RFPs through your public form. The system automatically:

  • Validates all required fields
  • Checks date availability
  • Detects potential conflicts
  • Creates a new submission record
  • Notifies your team

RFP Submission Fields

Standard information collected:

  • Contact Details: Name, email, phone, company
  • Event Details: Type, date, time, duration
  • Guest Count: Expected attendees
  • Room Preferences: Specific requirements
  • Budget Range: Expected spend
  • Special Requests: Additional notes

Status Workflow

RFPs move through these stages:

  • Pending - New submission awaiting review
  • Review & Send Contract - Conflict detected, needs manual check
  • Proposal Sent - Contract sent to client
  • Signed - Client has signed
  • Rejected - Proposal declined
  • Expired - No response within timeframe
  • Processing an RFP

    To process a new RFP:

  • Open the submission from your dashboard
  • Review all event details
  • Check room availability
  • Select appropriate room and package
  • Customize pricing if needed
  • Add terms and conditions
  • Send the proposal
